User Name Change Steps (including over the VPN)

Occasionally, a user may request that their name be changed due to their marriage or another life event.  To accomplish this, even when they are working remotely, follow the steps below.


1. Have the user log in under their current username and get connected to the network/VPN.

2. Once the user is connected, make the name change in Active Directory.

  • General tab: First name, last name, display name, email address
  • Account tab: User logon name
  • No longer required now that we use MS OneDrive - Profile tab: Update end of the U:/ drive path.  Then, cut/paste files from old U:/ drive folder to user's new one on the appropriate file server
  • Attribute Editor tab: Update the Proxy Address and Target Address attributes, keeping old name as a secondary address for an interim period.  (Make sure you add the alias to the user's account in SilverSky.)  
  • If the employee is a CreditQuest user, provide the path under the Object tab to the appropriate CQ admin for updating in Security Manager.

3. Go into to Duo and force an AD sync to bring the name change into the Duo system.

4. Confirm that the user appears in Duo correctly with their current phone associated with their account.

5. Have the user do a “Switch User” while on the network/VPN and log in as Other User under their new logon name.

6. If all that succeeds, you should be able to remotely copy files from their old user profile to their new one.  This would include Desktop, Favorites, Downloads, etc. as the user may not be able to do that on their own.  (This step may not need to occur if the user has logged back in successfully to their existing profile.)


Final Steps

  • Update other apps as necessary (e.g. Cleartouch, WireXchange, Freshdesk contact, etc.)
  • Contact Enterprise Systems for updating of apps they manage (e.g. Encompass, other lending systems, Prologue, CoreTrac/CRM, etc.)
  • Update the user's name on their phone extension in AT&T admin portal
  • Contact other departments to inform them of the change
    • If the name change request did not originate from HR, ensure that the employee contacted HR to let them know about the name change (you can verify in the Paylocity org chart if their new name is already appearing there).  Otherwise, forward the name change request directly to HR to make them aware.
    • Five9 users: Email Joe Walker/CRC
    • BAI & Verafin users: Email Patty Thompson/Compliance
  • The employee may need to directly contact other LOBs for updates to other less frequently used systems (Brand Hub - Marketing, FedEx - Michelle Booker/General Services, etc.)
